For town, city and county clerks and records officersBuilt, in the LFW account · working demo with fictional data

LFW Agendas in the LFW account for the fictional Town of Brissel Hollow, marked Demo: one item from Building and Land Use waiting for the clerk, and a list of two upcoming meetings, a Planning Board meeting in draft and a Select Board meeting with its agenda posted.
Fictional department, labeled Demo data.

A month in the clerk's office.

The deadlines are set by law. Each of these is in the working demo, for a fictional town.

  1. Monday A department sends an item for the Select Board. The clerk places it on the agenda and posts the packet, with the posting time recorded. Agendas
  2. Tuesday A records request arrives. The deadline is computed from the state's law, business days and holidays included. Records Requests
  3. Wednesday The packet's PDFs get accessible web versions. Staff approve each one after checking it against the original. Accessible Documents
  4. Board night The clerk records each motion, who moved and seconded it, and the vote. Agendas
  5. Every week The website is captured and fingerprinted, so the town can show what a page said on any date. Website Archive

Four products in the LFW account.

Each runs on its own. A town can start with records requests and add agendas when its current contract ends.

LFW Agendas

Agendas, packets, minutes and votes, posted on time with proof.

  • Items from departments wait for the clerk, then go on the agenda in numbered order.
  • Each posted version keeps its time and who posted it. A change is a new version.
  • An accessible web page of the agenda and packet, beside the PDFs.
  • Minutes with each motion, mover, seconder and the vote.

Replaces Agenda software sold by subscription, and packets assembled by hand

The Select Board's November 11 agenda in LFW Agendas: version 1 posted October 27 at 2:30 PM by Harper Ellis with links to the agenda PDF, packet PDF and accessible packet, then numbered sections and items such as 1.1 Pledge of Allegiance, 2.1 Minutes of the October 28 meeting and 3.1 Annual town meeting warrant articles, each marked On the agenda with controls to reorder and move.

LFW Records Requests

Every public records request answered by its legal deadline.

  • Deadlines computed from the statute for Virginia, Maryland, Texas, California and New York.
  • Business days, state holidays, extensions and the pauses the law allows.
  • Respond, assign and extend, with the Code section on every deadline.
  • A report of how many were answered on time, by department and month.

Replaces Records request portals sold by subscription, and a spreadsheet of due dates

One records request, 2026-0001: the next legal deadline with a Due soon flag and the Virginia Code section it comes from, the requester's details and the records asked for, and Respond, Assign and Extend forms.

LFW Accessible Documents

Accessible web versions of the PDFs you post, checked by a person.

  • Each PDF page shown beside the web version made from it.
  • What LFW noticed listed first, such as a guessed language or tables to check.
  • Images flagged until someone describes them or marks them decorative.
  • Nothing is published until staff approve it.

Replaces PDF remediation services billed per document

Reviewing a converted PDF, Route 4 Bridge: Final Payment: a Ready to approve panel listing what LFW noticed, then the original PDF page as a picture beside the generated HTML version of the same page.

LFW Website Archive

What your website said on any date, with a fingerprint to prove it.

  • Captures on a schedule or on demand, each with page counts and a SHA-256 fingerprint.
  • Any page replayed as it was, with scripts and forms switched off.
  • Two dates compared: pages added, removed and changed.

Replaces Website archiving services sold by subscription

Comparing two captures, October 21 and October 27: one page added, one removed, ten changed and nineteen unchanged, with the addresses of each listed.

One record of what was posted, and when.

Every product writes to the same organization record in the LFW account, so the clerk can answer a dispute with dates.

Working demo with fictional data for the Town of Brissel Hollow. The rules for each state were read from its official statute site; a lawyer in each state reads them before a town there relies on them.

Questions clerks ask.

Our state is not one of the five. Can we use LFW Records Requests?

Not with computed deadlines yet. Tell us your state and we will add its rules, read from the statute and checked by a lawyer there before you rely on them.

Does LFW Agendas stream or record meetings?

No. Paste the address of a recording hosted elsewhere and the agenda links to it.

Does LFW Accessible Documents fix the original PDF?

No. It makes an accessible web version of each PDF, checked by your staff, and posts it beside the original.

Do the forms and agendas live on our website?

Yes. LFW's free plugins put the request form and posted agendas on your own site. The clerk's work happens in the LFW account.

Walk through a board meeting with us.

We take your staff from a department's item to posted minutes, and a records request from arrival to response, in the working demo.
