Maintain and check

Apply WordPress core, theme, and plugin updates on a regular cadence, with version control, staging review where available, and automated checks after deployment.

Review alerts

Review monitoring and hosting alerts during business hours. Automated checks help identify changes; we assess what needs a task, a project, or escalation to the host.

Verify backups

Check that the managed host’s backups are running and restore from an available backup when needed. The host is responsible for infrastructure and uptime.

Leave a useful record

Requests and correspondence stay in the portal. A monthly report shows work, updates, and analytics highlights. Looking Glass records the key public pages on an agreed cadence.

    You nominate requesters and approvers, provide content, and delegate named accounts. We review the site, hosting, and backlog together.

  2. Week 2

    Establish the baseline

    Set up the portal, monitoring, and the agreed key-page archive. Confirm important forms, backup arrangements, and the first changes to make.

  3. Weeks 3–4

    Work through the queue

    Handle small tasks in your chosen order. Anything requiring a project gets a written fixed quote and waits for your approval.

  4. Day 30

    Review the first month

    See what changed, what remains open, and which decisions need your input. Use that record to set the next month’s priorities.

Within the Web Operations Retainer

Replace a staff biography, adjust an existing form, add a redirect, or publish a page using an existing template. Each routine task takes up to thirty minutes of hands-on work.

A separately quoted project

Redesign the membership section, build a new integration, migrate a library, or create a custom template. Larger requests and design or custom development need a written fixed quote.

Paid to the provider

Hosting, domains, email services, plugin licenses, and API fees. We agree who manages each account; your organization keeps ownership and pays the vendor’s charges.

Unlimited small-task requests, worked one at a time per site, subject to the schedule’s fair-use terms. The Web Operations Retainer does not provide after-hours or on-call coverage.

What people ask before they sign.

How much does it cost?

A flat monthly fee, set in writing before any work starts. There are two tiers, Standard and Priority, and the difference is how fast we pick things up. We do not bill by the hour. A twenty-minute call is how you get the number.

Is there a contract term?

No. The retainer runs month to month. Either side can end it with thirty days’ written notice, for any reason or none. The full agreement is published on this site.

Who owns the site?

You do, at every point. Work created for you is yours on payment. If we part ways, the credentials, account access, and code repository come back to you at no charge, and we help with an orderly handoff for thirty days.

Where is the site hosted?

On a managed host you approve and LFW confirms can support the work. Kinsta and Pressable are examples, not the only choices. We approve the specific plan and setup, not just the company name.

For WordPress, we generally look for:

  • WP-CLI and SSH access
  • A staging environment
  • Individual delegated accounts
  • Multifactor authentication
  • Automated backups with a practical restore process
  • Continuous infrastructure monitoring
  • Documented crash recovery
  • Real 24/7 technical support
  • An established, well-regarded provider

Fast means a current PHP runtime, full-page caching and CDN support, enough resources for expected traffic, and no host-level bottleneck in staging or production measurements.

The hosting account stays in your name and you pay the host directly. We run the site; the host runs the servers and the uptime.

What counts as a task, and what counts as a project?

A routine task takes up to thirty minutes of hands-on work. Requests are unlimited and worked one at a time per site, subject to fair use. Larger work, requests spanning systems, design, and custom development receive a fixed written quote and start only with your approval.

How fast do you respond?

On the Standard tier a new task is acknowledged within one business day. On Priority, within four business hours. These are measured in business hours and they are service targets, not guarantees.

Is after-hours support included?

No. The retainer covers business hours, with no after-hours or on-call coverage. The managed host is responsible for infrastructure, uptime, and its backup service. Any requirement beyond the published scope needs a separate agreement before you rely on it.

Can my team publish pages without you?

We can support publishing with your existing templates and agreed permissions. Mason is an LFW demonstration under development, not an automatically included client deployment. A new publishing workflow or custom integration needs its own scope and quote.
